1. Introduction
These terms and conditions govern your use of the Aberfoyle After School Club (ASC) booking service. By registering for an account and making a booking you agree to be bound by these terms. Please read them carefully.
The service is provided by Aberfoyle Parent Council, an unincorporated association. Our contact details are: aberfoyleasc@gmail.com.
2. Eligibility
ASC is open to children attending Aberfoyle Primary School in P1–7. Places are subject to availability. Registering an account does not guarantee a place.
3. Booking Policy
Bookings must be made in advance using this online system. Ad-hoc attendance without a booking cannot be guaranteed and is at the discretion of ASC.
Bookings are confirmed once payment has been completed. You can view your upcoming bookings at any time by signing in to the booking system.
We reserve the right to cancel or reschedule sessions due to circumstances beyond our control (for example school closures, staff absence, or adverse weather). We will provide as much notice as possible in such cases.
4. Cancellation Policy
Cancellation by parents
Bookings are non-refundable once made. If your child is unable to attend a booked session, please notify the ASC as a courtesy (see section 7), but no refund will be issued.
Cancellation by ASC
We may occasionally need to cancel a session due to circumstances beyond our control, such as school closures, staff illness, or adverse weather. In such cases:
- You will be notified by email as soon as possible.
- A full refund will be issued automatically for any cancelled session.
- ASC is not liable for any costs or inconvenience arising from a cancelled session.
5. Payment
Session fees are set out on the booking page and are reviewed periodically. We will provide reasonable notice of any fee changes.
Payment is due at the time of booking unless otherwise agreed.
6. Collection of Children
All children should be collected by the end of the booked session by a named adult as specified in the parent's profile. Children will not be released to anyone not listed as an authorised contact without prior arrangement.
Each booking is assigned a unique 6-digit pickup code. You will see this code on your booking confirmation and on the schedule page. At collection, the person picking up your child must present the correct pickup code to ASC staff before the child will be released. If you are arranging for someone else to collect your child, you must share the relevant pickup code with them in advance.
Each day, the school front office receives a time-limited link to a read-only collection register listing children's names and classes for that day. This helps the school coordinate end-of-day handover. The link expires at the end of the day it covers and does not include medical, contact, or other personal information.

On the rare occasion when you may be delayed in collecting your child by the end of the booked session, please inform ASC immediately via the ASC WhatsApp group or by contacting Katie Dunshea on 07825 841299.
7. Absence
If a child is not attending ASC, parents must inform the ASC by contacting Katie Dunshea on 07825 841299 or via the ASC WhatsApp group. The school should also be informed.

9. Health and Medical Information
It is your responsibility to ensure that all medical information, allergies, and special requirements for your child are accurately recorded in this system and kept up to date. We will follow emergency plans provided but cannot be held responsible for incidents arising from information that has not been disclosed or updated.
Staff are not able to administer prescription medicines.
10. Consents
Before making your first booking, you are required to set your consent preferences in your profile. The specific consents requested are listed on your profile page.
You can update your consent preferences at any time in your profile. Any changes will apply to future sessions. If we update the list of consents, you will need to re-declare your preferences before you can make new bookings.
11. Insurance & Belongings
ASC holds public liability insurance for the protection of children and families using the service. Please note that we cannot be responsible for personal belongings brought to sessions — we recommend leaving valuables at home.
12. Changes to These Terms
We may update these terms from time to time. We will notify you of material changes by email. Your continued use of the service after changes take effect constitutes acceptance of the revised terms.
